Conduct an assessment with external suppliers and internal stakeholders:

• Engage in discussion with the janitorial service provider and request a list of their cleaning products, scheduling policies, and records for your building.

• Assess your current contract spend structure (pay for Bill of Materials (BOM) or hourly pay with the cost of cleaning products included), sustainability initiatives considered, and perform an overall spend analysis (weigh the benefits and drawbacks of paying with the cost of materials included (or BOM) or purchasing the cleaning products separately)

• Identify the safety and effectiveness of products used and spend associated. To do so, enquire the drug info at the nearest medical office or through self-research. The disinfectants used should have a Drug Information Number (DIN) for easy identification.

• Identify the frequency of use of your product on-premises along with the frequency of the quality checks done along with performance.

• Ensure communication is effective when a new cleaning program is introduced.

• Training frequency - assess your current internal training programs, determine if programs are effective.

• Performance indicators, such as improved occupant and customer satisfaction is monitored strictly.

Opportunity Identification 

Reduced spend on disposables (products sourced from recycled content) and optimization of janitorial service contracts through diluted green products, purchasing less concentrated products improves cleaner's job satisfaction by adjusting some tasks to daytime shifts and reduced waste disposal cost (disposal of hazardous chemicals and disposable cleaning products).
Opportunity to decrease (per pound) of water use, energy use, and carbon footprint with the use of more energy-efficient equipment and additional VFDs (variable frequency drives) to major pieces of equipment to reduce electricity usage.

Utilization of greener products (less hazardous chemicals) for cleaning reduce health impacts on staff, reduced disposable waste, and reduced CO2 emissions from transportation (of non-diluted and disposable products).

Strategy Build & Execution

• Focus on the adoption of industry best practices like effective green cleaning program, for the safety of employees by working with suppliers who adopt Green Seal Certified equipment and train staff members with high priority about the right waste management/recycling programs.

• Based on the initial assessment, identify the right strategy with respect to the right choice of products, effective cleaning methods, and people with the right skill set to develop a new cleaning program.

• Develop a RoadMap which includes measurable targets, incentives, measurements, and analysis to track the progress of the new cleaning program with shared expectations.

• Determine your recycling & waste management programs, prepare a Request for Information (RFI) including your current suppliers.

• Re-evaluate scheduling to optimize the energy efficiency of your building.

Supplier Negotiation & Contract

• Consider working with a supplier to build their resources, tools, and adoption of Green Seal Certified guidelines to develop this circular economy.

• Leverage with suppliers for discounted rates, cost savings, storage, and building a sustainability model for cost reductions.

• Submit a change order to the contract to include a sustainability clause and incentives for using more sustainable practices.

• Agree on quality and maintenance accountability and responsibility, quality management, the turnaround time for emergency response, and the opportunity to sell/receive credits for exceeding performance benchmarks.

• Identify and encourage suppliers to implement new sustainable solutions such as the use of Bio-based cleaning alternatives, specialized cleaning solutions for various surface types that increase productivity, and Electrically Activated Water Cleaning Solutions.

• Inclusion of quality assurance and warranty clauses in the contract to ensure the extended higher quality life of the product.

•Consider extending contract length to maximize leverage.

Supplier Performance & Management

• Evaluate the sustainability benchmark performance, cleaning performance, and scope the market for new sustainable cleaning technologies.

• Perform internal reviews after the change implementation to evaluate the commercial impact of waste management policies, and the environmental impact of waste disposal operations.

•Integrate waste tracking into supplier performance management. Regular evaluation of suppliers' standards and certification for their products using Drug Identification Number (DIN).
